About ALMAAHH
ALMAAHH—Advocates of a Latino Museum of Cultural and Visual Arts & Archive Complex in Houston, Harris County—is a nonprofit organization dedicated to creating an arts and culture complex that positions Houston as the nation’s leading center for American Latino arts and cultural expression; helps the nation better understand American Latinos; showcases our soul through arts and culture; and inspires new generations.
ALMAAHH is seeking a highly organized. proactive Administrative Assistant to support the President and Team. This role also provides administrative support for Board committees. The ideal candidate demonstrates exceptional attention to detail, professionalism, and the ability to handle highly sensitive and confidential information. You will play a key role in strengthening organizational operations and advancing services that uplift thousands in the community
Key Responsibilities
- Provide day-to-day executive support to the the President, including managing complex calendar, drafting correspondence, preparing meeting materials, and tracking action items
- Support the Executive Team and others with scheduling, document preparation, and coordination
- Coordinate and support Board and Board committee meetings: agendas, materials, logistics, minutes, and communication with Board members
- Handle confidential and sensitive information with strict discretion and sound judgement
- Maintain organized filing systems; oversee records retention and ensure secure storage of sensitive documents
- Coordinate domestic and occasional international travel, including itineraries and reimbursement documentation
- Assist with internal and external event logistics and special projects as assigned
- Serve as a professional liaison between the executive office and staff, Board members, donors, community partners, and other stakeholders

Required Qualifications & Skills
- 3+ years of experience supporting senior or C-level leadership, preferably in a nonprofit setting
- Bilingual Spanish preferred. Proficient in English. Excellent verbal and written communication skills, including proofing and document preparation
- Exceptional attention to detail and ability to manage multiple priorities
- High level of professionalism and strong, healthy professional boundaries
- Proven ability to manage and protect confidential information
- Advanced proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
- Ability to work independently, anticipate needs, and adapt in a fast-paced, mission-driven environment
- Bachelor’s degree preferred, or equivalent combination of experience and training
Preferred Qualifications
- Experience supporting nonprofit Boards and senior leadership teams
- Experience with donor, personnel, or confidential recordkeeping
- Familiarity with basic expense management and administrative processes
